Privacy Policy

Effective October 16, 2026 · Last updated October 16, 2026

This policy explains what information Timesheet collects, why, and who can see it. Timesheet is provided by Next Dynamics Inc. (“we”, “us”). Your organization decides what its workspace is used for, so for workspace data it is in charge and we act on its instructions.

1What we collect

Account details: your name, work email, password (stored only as a secure hash), role and the workspace you belong to.

Work data your workspace enters: time entries and timers, projects and clients, rates, budgets, expenses and receipt files, time off, approvals and comments, and invoices.

Technical data: sign-in sessions, IP address, browser type and basic request logs, plus your language and theme choices.

2How we use it

To run Timesheet: saving your hours, routing weeks for approval, and turning approved time into budgets, reports and invoices.

To send service emails such as invitations, password resets, weekly reminders and approval updates. We do not send marketing email from Timesheet.

To keep the service secure, fix problems and understand how features are used in aggregate.

3Who can see your data

Inside your workspace, what people see depends on their role: managers see the timesheets they approve, and admins can see and manage workspace data.

We share data with service providers that help us run Timesheet, such as Microsoft Azure (hosting and file storage in the North Europe region) and Microsoft 365 / Microsoft Graph (transactional email), only as needed and under contract. We do not sell personal data.

We may disclose information when the law requires it or to protect people and the service.

4Cookies and local storage

We use one essential cookie to keep you signed in. Your language and light or dark theme are remembered in your browser. We do not use advertising or cross-site tracking cookies.

5How long we keep it

Workspace data is kept while the workspace is active. After it is closed, we delete or anonymize it within 90 days, except where the law requires longer. Request logs are kept for 90 days.

6Your choices and rights

You can update your name, password and preferences in your account settings. Your workspace admin can correct, export or remove your work data.

Depending on where you live, you may have rights to access, correct, delete or object to how your data is used. Ask your admin or contact us; we will respond within 30 days.

7Security

Data is encrypted in transit, passwords are hashed, and access to production systems is limited to staff who need it. No system is perfectly secure, so please tell us at once if you suspect a problem.

8Where data is stored

Timesheet is hosted in Microsoft Azure data centers in the North Europe region (Ireland). If data moves across borders, we use the safeguards the law requires.

9Changes to this policy

If we change this policy we will update the date at the top and, for material changes, tell workspace admins before they take effect.
